How to write a proposal clients say yes to
A good proposal is short, specific and easy to approve. Start with one or two sentences that restate the client's goal in their own words, so they know you listened. Then describe the scope as a list of concrete deliverables rather than activities: "five-page website with contact form" is clearer than "web development".
What to include
Every proposal should cover five things: who it is for and from, the scope of work, the price, the timeline and the terms. Price each deliverable on its own line so the client can see where the money goes. Keep the timeline to a single line with clear milestones, such as "design in week 1–2, build in week 3–4, launch in week 5". In the terms, state your payment schedule (a 50% deposit is common), how many revision rounds are included, and how long the offer is valid. Finish with a simple instruction for how to accept.
When to use optional add-ons
Optional add-ons let the client build their own package without a new round of emails. Use them for work that is valuable but not essential to the core project: SEO setup, copywriting, extra pages, a maintenance plan or rush delivery. Keep the base price focused on what the project needs to succeed, then list two or three relevant extras. Clients who see choices tend to compare options instead of questioning the price, and many will add at least one. Avoid more than three add-ons, or the decision becomes harder than it needs to be.
From PDF to signed acceptance
A PDF works well for a quick quote. When you want the client to approve online, open the proposal in ProposalKit: you get one link where the client toggles add-ons, sees the total update and accepts with a typed name, with the date, time and IP recorded for your records.
